How do we write better prompts for ChatGPT and other AI tools? How do we communicate effectively with AI?
The quality of AI's response depends entirely on the quality of your prompt.
A prompt is the instruction, question, or request you give an AI tool to tell it what you want it to do and how you want it done.
Prompt = Communication with AI. The clearer and more specific your prompt, the better the AI's response will be.
AI can only respond based on the instructions you provide. If your prompt is vague or incomplete, the response may be inaccurate or not what you expected.
Better Prompt = Better Result
AI works exactly the same way — the more context, details, and guidance you provide, the better its response will be.
"Write a report."
→ The AI has to guess what you want.
"Act as a customer service officer at [Company] Insurance. Write a one-page report summarizing this month's customer inquiries. Use professional language, include key observations, common customer concerns, and three recommendations for improving customer service."
To write consistently good prompts, we use a simple structured method: the RCTF Framework, also known as the 4W Framework.

A Role tells AI who it should become before answering your request. By assigning a role, you guide AI to respond with the knowledge, perspective, and communication style of that profession.
When you give a role, AI starts thinking from that perspective and tailors its response accordingly.
Question: "How can I improve my health?"
"Focus on regular checkups, preventive care, vaccinations, and managing health risks."
"Exercise consistently, build strength, and maintain an active lifestyle."
"Eat a balanced diet, reduce processed foods, and improve your daily nutrition."
Prompt: "Write an email about a life insurance policy."
"Thank you for contacting us. We'd be happy to explain the policy benefits and help you choose the right plan."
"Protect your family's future with our trusted life insurance plans and peace of mind."
"To process your claim, please submit the required documents. Our team will guide you through the next steps."
"We are committed to reliable service and helping you secure your family's future."
Same question, different roles, different answers — the role you assign determines the perspective and expertise AI uses.
Context is the background information you provide to AI before asking it to perform a task. Think of it as giving AI the complete situation so it can understand your needs properly.
Without context, AI has to make assumptions. With context, it can give personalized, relevant answers — context helps AI give the right answer, not just an answer.
Question: "Recommend a laptop." — without context, AI might recommend anything.
Task is the specific action or goal you want AI to accomplish. It tells AI exactly what needs to be done and what your desired outcome is.
Even if AI knows the Role and Context, it still needs a clear Task to produce the expected result. Without a clear task, AI may not understand your objective.
Format tells AI how the response should be presented — the structure, style, tone, and length. Even if AI knows the Role, Context, and Task, Format helps it deliver the response the way you actually expect.
"Act as a fitness coach. I'm a beginner working out at home with no equipment. Create a workout plan to lose weight and improve stamina in 2 months."
